Your family's information, handled with care

We collect only what's needed to support your family, and we're upfront about how it's used, stored, and protected. Here's exactly what that looks like.

Growing Childology ("Growing Childology," "we," "us," or "our") provides parent-centered education and developmental guidance for families with children birth through age 7. This Privacy Policy explains what information we collect through our website, how we use it, how long we keep it, and the choices available to you. It applies to growingchildology.com and any related forms, check-ins, or booking tools linked from this site.

1. Information We Collect

We collect information directly from you through the forms and tools on our website. We do not collect more than is needed for the purpose of each form, and we do not require sensitive documentation such as medical records, IFSPs, or IEPs through the public website.

Depending on which forms you use, this may include:

  • Parent or caregiver name, email address, and phone number
  • Your child's age range (not full date of birth or last name, unless you choose to provide it)
  • Your general location or state, collected before any virtual appointment is confirmed
  • Responses to the public Child & Family Check-In
  • Information you provide in the private, post-booking Child & Family Profile
  • General messages you send through our contact form
  • Basic technical and usage data collected automatically, such as browser type and pages visited

2. Public Child & Family Check-In

The Child & Family Check-In is a free, optional self-reflection tool for parents. It asks about everyday experiences across a set of parent-facing categories (such as communication, big feelings, play, routines, movement, challenging moments, and family routines).

The Check-In is for parent reflection and education only. It is not a medical, clinical, diagnostic, developmental, or behavioral evaluation, and it does not determine whether a child needs professional treatment or services. Any internal scoring is used only to identify which categories you reported most often — we do not display severity scores, pass/fail results, or automated package recommendations.

We ask only your child's general age range and your responses. Providing an email address is optional and is used only if you request your results by email or opt in to related communications, as described in Section 6.

3. General Contact Form

Our general contact form collects your name, email, an optional phone number, and your message. This form is intended for general questions only.

Please do not submit detailed medical information, records, diagnoses, or other sensitive child information through the general contact form. If you need to share this type of information, we will direct you to an approved, secure process.

4. Booking & Scheduling Forms

When you book a free 15-minute Getting Started Call or a Getting Started Session, we collect:

  • Parent or caregiver name, email, and phone number
  • Your child's age range
  • Your state or general physical location, which we collect before confirming any virtual appointment
  • Your preferred format (virtual, phone, in-person, or community-based, where available)
  • Your acknowledgment that a parent or legal guardian must remain present whenever your child participates
  • Your acknowledgment of our service-scope notice and Client Policies

We do not request detailed diagnoses or medical information through the initial booking form.

5. Private Child & Family Profile

After you book a first paid session, you will be asked to complete a private, non-public Getting to Know Your Child & Family Profile. This form asks about your child's strengths, interests, routines, everyday challenges, what you have already tried, and what you would most like help with.

This profile is used to prepare for your session and to create a Family Support Plan. It is not an evaluation, assessment, screening, or diagnostic intake, and it is not publicly accessible. For Version 1 of our website, we do not accept document uploads (such as medical records, IFSPs, or IEPs) through this form. If records ever need to be shared, we will use an approved, secure process with your authorization.

6. Email Communications & Marketing

We may send you transactional emails related to a form you submitted or an appointment you booked, such as confirmations and reminders. These are necessary communications tied to the service you requested.

If we offer optional email updates or marketing communications, you will see a separate, clearly labeled marketing-consent checkbox that is never pre-checked. You may opt in or out of marketing emails at any time, and every marketing email includes an unsubscribe option.

7. Cookies & Analytics

Our website may use basic analytics tools to understand how visitors use the site, such as which pages are viewed and how visitors arrived at the site. This data is generally aggregated and does not identify you personally. We do not use this data to build advertising profiles of you, and Growing Childology does not display third-party advertising on this website.

8. How We Use Information

We use the information we collect to:

  • Respond to your inquiries and schedule appointments
  • Prepare for your Getting Started Call or session
  • Create and update your Family Support Plan
  • Confirm your location before offering virtual services, since we do not advertise virtual availability nationwide
  • Improve our website and the clarity of our content
  • Meet legal, administrative, and recordkeeping obligations

We do not sell your personal information.

9. Vendors & Third-Party Services

We may rely on trusted third-party vendors to help operate our website and business, such as website hosting, form and scheduling tools, email delivery, and basic analytics. These vendors only receive the information needed to perform their function and are expected to handle it securely and in line with applicable privacy laws. We do not permit vendors to use your information for their own marketing purposes.

Category Purpose
Website hosting / CMS Hosting the website and its content
Form & scheduling tools Collecting check-in responses, contact messages, and appointment bookings
Email delivery Sending confirmations, reminders, and (if opted in) marketing updates
Analytics Understanding general site usage to improve content and navigation

[Insert specific vendor names once finalized, e.g., hosting provider, scheduling platform, email service.]

10. Data Retention

We keep personal information only as long as needed for the purpose it was collected, to provide our services, and to meet legal or recordkeeping obligations. Check-in responses and contact form messages that do not lead to an ongoing client relationship are retained for a limited period and then deleted or de-identified. Client records connected to an active or past service relationship are retained in line with our Client Policies and any applicable legal requirements.

11. Access & Security

We limit access to personal information, including private Child & Family Profile content, to the founder and any team members or vendors who need it to provide services to you. Sensitive questionnaire content is not sent in plain-text notification emails; where our platform supports it, we use secure admin notifications or links instead. We use reasonable administrative, technical, and physical safeguards to protect your information, but no online system can be guaranteed completely secure.

12. Children's Information

Our website and forms are directed at parents and caregivers, not at children. Information about a child is provided to us by a parent or legal guardian, not collected directly from the child. We do not knowingly collect personal information directly from children through this website.

13. Your Choices & Rights

Depending on your location, you may have rights to access, correct, or request deletion of your personal information, and to opt out of marketing communications. To make a request, contact us using the details in Section 16. We will respond within a reasonable time and may need to verify your identity before fulfilling certain requests.

14. Scope of Our Services

Growing Childology provides parent-centered education and developmental guidance. It does not provide therapy, ABA, Early Intervention services, diagnosis, medical care, clinical treatment, or formal developmental evaluation. This Privacy Policy describes how we handle information in connection with that scope of service.

15. Changes to This Policy

We may update this Privacy Policy from time to time as our services, tools, or legal obligations change. We will post the updated policy on this page with a revised "Last updated" date. We encourage you to review this page periodically.
